CCR Record Images

Description 

CCR Records are used to keep track of any CCR infractions. When a CCR record is created, multiple images and documentation can be added to it. 

When an image is added to the record, it can also be added to a CCR letter using a Merge Code. 

This article will go over how to add an image to a record, and how to add the CCR image merge code in a template. 

Step By Step 

 

Add a Record Image

1. Click Portfolio then Community. Select the Community to work in. 

2. Click CCR then CCR Ticket

3. Process a New CCR Record or open an existing ticket. 

4. Once a ticket has been created, click Add a Photo

5. Select the image file from your device, then click open.

6. Once an image has been selected, it will appear on the CCR record.

If there are multiple photos on the record, the image in the box selected will appear in a template if the image merge code is selected.

Add a File to a Record

1. Click Portfolio then Community. Select the Community to work in. 

2. Click CCR then CCR Ticket

3. Process a New CCR Record or open an existing ticket. 

4. Under Attachment Gallery, click Select Files...

5.  Select Attachment – Browse and select the appropriate attachment or attachments and click Open.

CCR Image Merge Code

The CCR image merge code can be added to ccr templates that can be attached to the CCR action table. 

When an action is taken on a step with a letter attached to it, it will generate a letter for the homeowner based on the ticket. 

 

1. Open your CCR letter template in Microsoft Word 

Must be using Office 365, Word 2013 or Newer in order to use the Merge Code Manager. 

2. Open the Merge Code Manager

3. When prompted for your TOPS [ONE] credentials, click Skip 

Credentials are only required if using custom field merge codes

4. Click your cursor to wherever you want to add the Merge Code on your template.

5. Template Type - CCR Letter

6. Categories - CCR Codes 

7. Select the appropriate merge code. 

8. Save your template. 

If this file was downloaded from your template library, keeping the same file name will allow replacing the existing template in your system. Instead of uploading a brand new one. 

9. Reupload your template.
